How often have you said that? For most of us, we’ve got more on our plates now more than ever (or, at least it feels like it). So, how in the world do we manage time and priorities to make sure that we get things done…while still making time for what matters most…without being completely stressed out and anxious all the time? We’ve talked before about the Eisenhower Matrix, and that remains a bedrock for productivity. Here’s a quick refresher… Basically, every task can be put into one of four boxes (each box is a quadrant in the matrix…just do a quick search on the ol’ Google machine for an example): 1.Not Urgent, Important (NUI). This is the most important, yet most neglected box, and it’s actually where the magic happens in life. The activities in this quadrant are what allow you to get ahead, make more money and leave a lasting legacy. These are things that are essential to your mission and the goals you have for your life, but you don’t necessarily have time to complete them right now. Decide and do is the theme for things in this box, meaning that you pick a task and work on it. 2.Urgent, Important. These are tasks that have a looming deadline and add real value to your life/business. Do is the mantra here, meaning that you either do them immediately (after your NUI work) or schedule time to complete them. 3.Urgent, Not Important. You’ll find that a lot of your daily tasks end up in this quadrant. Delegate is the action for this quadrant. Yes, that may cost money (to pay someone else to do these), BUT if you’re worth $50 an hour, then doesn’t it make sense to pay someone else $15 to free up time for you? 4.Not Urgent, Not Important. Unfortunately, most of us spend too much time in this quadrant, which explains why many of us feel like we’re stuck and struggling (or as Craig Ballantyne calls it, struckling). Scrolling through social media…watching Netflix…checking the news…those types of time-sucking activities all go here. Delete, or as Peter Drucker said, “There is nothing so useless as doing efficiently what shouldn’t be done at all.” Now, if you put the Eisenhower Matrix into place consistently, you’ll be leaps and bounds ahead. But there are two more key steps that can take you to the next level… - The Two-Step Brain Dump. At the end of each day, give yourself 5, 10 or 15 minutes to do a “brain dump”, meaning that you’ll write down (with a pen on paper) all your tasks, activities, obligations, ideas, etc., you have to do tomorrow. That’s step one. Step two is scripting out your day (tomorrow) with those in mind, and where applicable, jotting down relevant ideas. - Accountability. Without a doubt, when it comes to time management, tackling priorities and getting things done, arguably the most important thing you can do is hire a coach. A mentor. Someone who’s walked a mile in your shoes, so to speak. This is the secret ingredient to your future success. The right coach can not only help you plan accordingly, s/he holds you accountable for the goals and non-negotiables you set for yourself.
