Assign a Priority Level and Text the Topic (Like a Headline): Acknowledge the nature of the mystery audio file and the topic of the message with some context in text. My team and I use "NU", which means "Not Urgent" if the message is not timely and we know we can listen on-demand later while on a walk or commuting, etc. If you want a teammate to listen as prep for something timely, make that clear. There's nothing worse than receiving a voice note without any context. This removes anxiety and allows the recipient to plan accordingly. 2. Be Concise and Clear on Next Steps. (Avoid the TED Talk): Communicate if this is an Fyi update or a specific question, feedback, directive or thought-starter idea. No response needed? Great, no need to boomerang. Make that clear from the beginning. Are you sharing feedback, questions or updates on two different subjects? Tell the person you have two topics at the beginning. Or, send two different *short* voice notes. This helps your recipient out by not needing to remember so much and restart a long voice note over multiple times. 3. Exercise Your Tone. (Leverage this Humanized Medium): Voice notes are a powerful opportunity to connect, share excitement, emotion and acknowledgement, especially as a leader. They can even be a way to communicate a "heads-up" about something critical in a controlled and measured way that could be translated in an unintended ton via text or email. You can use your inflection and become the bright spot in someone's day in less than a minute or two!
